It is the mission and intent of this position that the incumbent will assist the Director of Finance & Assistant Director of Finance in maintaining the day to day bookkeeping by preparing invoices and ensuring proper communication between guest, vendors and departments for the Hotel. 

Duties and Responsibilities:

  • Charging guest by credit card, check, cash, or wire and posting charges to their account.
  • Review contracts for timeliness and accuracy of billing.
  • Communication – Responsible for making introduction calls, maintain a positive relationship with guests and clients throughout their event maintaining a positive working relationship with other departments.
  • Bill Assembly and Collections – Monitor wholesaler, corporate, and group accounts from check-in through check-out, ensuring accuracy of billing.  Prepare and mail group master accounts with proper documentation within the contract or agreed terms.
  • Handle all assigned accounts and guest bill inquiries/disputes and assist on the collection process.
  • Group and Transient Commissions Payment and Inquiries
  • Credit Card & Chargeback Inquiries
  • Guest Billing Inquiries
  • Qualities – Organization, Timeliness, Accuracy of Billing, Basic Accounting, Microsoft Office, strong telephone and writing communication skills.
  • Additional duties as developed, directed, or assigned related to other disciplines within the Accounting Department.

The Accounts Receivable Coordinator reports directly to the Credit Manager.
