Main Responsibilities

  • Provide a support service to the Director of Engineer/Assistant Director of Engineering to assist in meeting the strategic goals of the department
  • Co-ordinate and respond to telephone requests from guests and general work requests, direct and dispatch work assignments to Engineering trades via telephone, paging system or radio
  • Maintain work order request board, assign work request to engineering associates and return completed work orders to respective originating departments as per standard and procedure
  • Responsible for taking minutes of meetings, typing and distribution of same
  • Responsible for administering guestroom preventative maintenance program
  • Provide Secretarial support to the HOD/Assistant HOD and Supervisor
  • Co-ordinate the preventative maintenance programs
  • Solicit pricing and quotations from vendors for storeroom items, departmental supplies and capital projects as assigned
  • Initiate and co-ordinate purchasing of materials and supplies for the maintenance and construction of certain projects handled by engineering within the hotel
  • Maintain an effective filing system for Engineering purchasing, tracking paid and unpaid invoices

Requirements

  • A formal qualification in secretarial practices would be preferred.
  • Hands-on experience in all operational areas of departmental administration.  
  • Prior experience in a hotel operation is a definite advantage
  • A minimum of 2-5 years of Administrative background. 1-3 Years industry experience in a similar role in a luxury hotel is preferred
  • Ability to manage professional relationship with personnel from multinational origin
  • Have a strong market sense is preferred
