Duties and Supporting Responsibilities
• Responsible for adhering to the rules and regulations of the hotel as set down in the Staff Handbook.
• To perform operative duties as required including efficient registration process for hotel guests and accurate billing/transaction actions.
• To be aware of all current activities/matters and in house events, eg. Promotion, daily activities, dining guide etc in order to facilitate all enquiry guest.
• Familiar with room amenities, layout of categories of rooms, room rate structure, facilities and services available in the resort.
• To type correspondence, memorandums, and reports, as well to carry out any other reasonable duties and responsibilities as assigned by Front Office Supervisor.
• Promote and upsell a higher category of room and resort food and beverage outlets.
• To provide services and accurate information to hotel guest and outside callers.
• To present professionalism both on the telephone and in person. You play an important role in creating an excellent image of the Resort.
• Provide seamless check-in and checkout experiences for our guests, preparing for arrivals, follow steps to accommodate walk-ins, smoothly checking in groups, verify departures, and follow up on late departures.
• Handle guest comments and concerns with appropriate gesture, report to supervisor/ duty manager in timely manner.
• Work to anticipate our guests’ needs to delight them and exceed their expectations.
Be knowledgeable of Opera system, upon guest request folio relevant information should be responded correctly.
• Handle and maintain a bank to provide change and paid outs to guests.
• Ensure to communicate with guest service colleagues for further requests such as luggage requests for check-in and checkout.
• Have knowledge of all groups and events in-house including special requirements and billing arrangements.
• Enable to offer potential guests with tours of the hotel property and guest rooms.
• Have knowledge of the area competition and the services and amenities offered.
• Have general knowledge of hotel location and surrounding attractions.
• Run a credit limit report for all in-house guests and obtain additional credit when needed, when additional credit is not able to be obtained a MOP (Method of Payment) letter should be prepared and sent.
• Follow safety guidelines according to FLHSS at all the time.
• Perform duties within a time management guideline.
• Process and handle guest calls, outside calls, take messages, and wake up calls.
Keep Front desk with sufficient stock of materials and supplies.
• Attend handover meetings in requested time of shift, to take responsibility and ownership of issues occurred.
• Secure guest valuables with security or in guest safe room, according to SOP of establishment.
• To assist and carry out other duties as required and directed by Front Office Manager and manager on duty.
• To update glitch report or any feedback given by the guest in Opera.
• To maintain positive manner while on duty.
• Front Office Department is operated for 24 hr, be flexible with schedules and covers rotating overnight shifts based on business demands.
• Additional duties include but are not limited to:
• Providing lost and found services.
• Cashing checks.
• Exchange foreign currency.
• Arrange restaurant reservations subject to availability.
• Arrange transportation services.
• Store and retrieve luggage.
• Confirming Restaurant/Spa appointments and general knowledge of services.
