Duties and Responsibilities

 

Major responsibilities

  • Liaison for all operational departments and clients. One contact for all clients who communicates to each department what is needed and delivers to clients/guests.  One stop shop!
  • Service all entertainment groups including junkets and all Middle East/Diplomatic groups only
  • Service all aspects for all entertainment groups including junkets; become main contact for them when in-house
  • Service all rooms only groups i.e. roadshows, incentives, socials without meeting space
  • Service all aspects of Middle East/Diplomatic groups; become main contact for them when in-house including mini-groups of 4 or more rooms; 3 rooms or less will be serviced by Guest Relations
  • Input Salesforce group bookings when necessary for all entertainment groups including junkets only
  • Create BEO’s for this specialty groups and have signed and approved by clients
  • Input Rooming Lists for all entertainment groups including junkets and all Middle East/Diplomatic groups and all rooms only groups
  • Prepare group resumes for all entertainment groups including junkets and all Middle East/Diplomatic and all rooms only groups to distribute to hotel staff weekly
  • Meet and greet client upon arrival as well as visit with client daily when in-house
  • Communicate with client directly to follow-up on rooming lists, cut-off dates, guest preferences, attrition penalty & pickup status for all entertainment groups including junkets and all Middle East/Diplomatic groups
  • Communicate with client directly to follow-up on rooming lists, cut-off dates, guest preferences for all rooms only groups
  • Coordinate all necessary needs for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups while in-house i.e. gift deliveries, key packets, transfers, spa appointments, F&B outlet reservations, etc.
  • Communicate status of room blocks with Reservations Manager daily for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups
  • Run Salesforce reports daily to review any discrepancies between HMS &
    Salesforce for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups
  • Attend weekly group resume meetings for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups, GRC meetings as well as monthly sales meetings
  • Schedule meetings with clients when in-house for preparation of a group or after a group’s departure for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups
  • Billing review with client when necessary and requested for all entertainment groups including junkets and all Middle East/Diplomatic groups and for all rooms only groups
  • Service all aspects of suite events
  • Backup for Conference Services Manager when out of office for rooming lists and billing.

 

 

 

Sales Role:

  • Responsible for selling and servicing all suite events
  • Responsible for selling and servicing all US Roadshows of 6 or more rooms
  • Responsible for selling and servicing all social rooms blocks of 6 or more rooms
  • Attend Revenue & GRC meetings weekly to understand booking trends
