We are looking for a Sales&Event Coordinator to join our great team in Prague.

About the role:

Scope and Range

  • To assist to achieve budgeted revenues in Groups, Events Sales and Conference in keeping with the annual budget and marketing plan for groups, and incentive business.
  • To effectively administrate and co-ordinate Sales Department tasks.
  • Assistance with groups and events bookings, as per the hotel´s procedure.
  • To ensure effective communication and co-ordination with other hotel departments to enable the smooth operation of groups, events in-house.
  • To develop and maintain good working relationships with group and event clients.

Daily Duties

  • To efficiently manage HMS and Delphi as directed, ensuring that all information is complete, accurate and update.
  • To ensure that all group and event bookings have valid option dates and that the proposals are actively chased prior to or on the option date.
  • To accurately record all groups cancellations and log the reasons in Delphi.
  • To liaise with the Groups and Events Manager and Events Executive on contract construction, confirm billing arrangements and deposit requirements as per terms and conditions.
  • To uphold the hotel’s credit policy.
  • To ensure that all the information is accurately obtained prior to arrival of the group, event, including details of rooming list, room allocations, arrival times and procedures.
  • To book any outside source requested by client within reason.
  • To liaise with the allocated Sales colleague being the first point of contact for the organiser and ensuring their events and group overall are a success.
  • To issue any reports and forms as directed by the Sales colleagues
  • To arrange a full handover detail of the group to front office at least 24 hours prior to arrival and to be available to assist front office with trouble-shooting during the groups stay in-house.
  • To attend internal and external meetings
  • To meet and assist group organisers as directed by the Sales Department
  • To handle site inspections (show round and familiarisation trips) and pre-group client meetings, in conjunction with Sales and Events, as directed by the Sales Department
  • To assist to co-ordinate the sending out of all group and event proposals
  • To maximise opportunities for up-selling of room rate and any other services
  • To ensure that all administration is accurate and up to date
  • To carry out any other reasonable duty as directed by your manager
  • To ensure the standards of personal appearance, grooming and conduct are example to the team and provide a professional image for guest.


  • Fluent in written & spoken Czech and English
  • Experience in banqueting, organizing conferences, reservations or FOH
  • Knowledge of MS Office, Sales Force is advantage
  • Very good communication skills and pro-client approach
  • Organizational and problem solving skills
  • Positive attitude, stress resistant
  • Flexibility and time management
