Strategic Intent

It is the mission and intent of this position that the incumbent will assist the Director of Finance & Assistant Director of Finance in compiling & analyzing data related to all facets of HOA monthly billing, expenses, and credit related decisions for the residences and condo associations.  This individual will present suggestions for improvements and meaningful solutions to financial statement activity and adjustment issues, as they occur.

Scope of Position

This position entails conducting continuous verification of invoices, statements, and credits received, resolving any discrepancies with invoices, statements, credits and/or vendors, travel agents or any departments within the residence’s financial statements.  This also includes maintaining the expenses on the general ledger and purchasing software, balancing the various intercompany accounts, and preparing payments with proper documentation for signature. The position will also be assisting the Paymaster on recording payroll information for all employee and analysing labor productivity for each department within the residential financial statements.  Other duties include performing the month end closing process and balance sheet reconciliations on your own with little assistance.

Duties and Responsibilities

  • AP/AR responsibilities:
    • Ensures sequential log record of all purchase orders issued, completed and outstanding in the accounting software.
    • Reviews open purchase order file, checks on past due invoices weekly, investigates and resolves any outstanding issues
    • Review purchase orders, monitors department’s check book and controls expenses based on budget.
    • Verifies receipt of all materials listed on invoices and statements received from vendors and suppliers
    • Review vendor statements on a regular basis to ensure all invoices and credits from each vendor is entered and accounted for
    • Performs accuracy verification of items received, against purchase order and general ledger accounts
    • Reports deviations from established purchasing/receiving procedures to Director of Purchasing
    • Posts and inputs invoice data into accounting software on a daily basis; verifies data is accurate
    • Performs file maintenance activities for purchase orders, receiving documents, signed check copies, computer print outs and other documentation pertaining to accounts payable operations
    • Reconcile voided checks on a monthly basis to ensure proper voiding procedures and check sequence is in numerical order without any numbers missing.
    • Reconcile vendor changes in the accounting software to ensure accurate procedures and changes have sufficient supporting documentation. 
    • Assists in end of month closing process, including payments, reversals, and accruals
    • Assists in the performance of annual audits and purge of files
    • Other duties as assigned
  • Financial Statements/Month End responsibilities
    • Aides in preparation of 3 annual budgets for residential component of the property
    • Creates monthly and annual financial statements for three residential trusts
    • Participates as needed with quarterly and annual trustee meetings
    • Issues monthly statements to homeowners for two HOA’s
    • Supports Director of Residences Operations & Facilities with monthly finance call with Residences corporate office
    • Payroll responsibilities:
    • Assists Paymaster in weekly duties on ensuring accurate employee information is up to date with supporting documentation for all current Residences employees
    • Follow up with managers in the residences regarding residential employees’ time clock punches.
    • Records accurate information regarding vacation, sick time and other payroll related benefits
    • Establishes & Maintains security procedures designed to ensure the confidentiality of all payroll related information
    • Knowledgeable of the bi-weekly payroll processing to be able to substitute the Paymaster on off days
    • Analyse labor trend and productivity for all departments based on statistical reports. Assist department heads in managing employee’s salaries and wages to budgeted revenues and hours.
    • Other duties as assigned

    • Bachelor’s Degree in accounting, Finance, Hospitality or other business-related field of study
    • Minimum 2 years of experience working in accounting
    • Strong Team Player, enthusiastic to learn and accomplish the Finance Department & Mandarin Oriental Overall Goals.
