The Role

The Admin Assistant will provide vital administrative and organizational support to the Food & Beverage Department during the pre-opening phase and beyond. This role ensures smooth coordination of departmental activities, accurate documentation, and effective communication, contributing to the successful launch and ongoing excellence of Mandarin Oriental Makati.


Key Responsibilities

Pre-Opening Support

  • Assist in preparing departmental documentation, SOPs, and training materials.
  • Coordinate schedules, meetings, and communications for the Food & Beverage leadership team.
  • Support recruitment processes by organizing candidate files and interview schedules.

Administrative Duties

  • Manage correspondence, reports, and filing systems for the department.
  • Handle purchase requests, invoices, and expense tracking in coordination with Finance.
  • Maintain accurate records of departmental inventories, contracts, and licenses.

Operational Coordination

  • Liaise with other departments to ensure smooth communication and workflow.
  • Track and follow up on action items from meetings and departmental initiatives.
  • Provide logistical support for events, training sessions, and F&B promotions.

Guest & Staff Support

  • Assist in preparing guest communication materials related to F&B services.
  • Support staff engagement initiatives and departmental communications.

 

Qualifications & Skills

  • Minimum of 2–3 years’ experience in administrative support, preferably in hospitality or luxury service environments.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office Suite and hotel management systems.
  • Ability to work independently and collaboratively in a fast-paced pre-opening environment.
  • Previous experience in a pre-opening hotel is highly desirable.
