About the job

Based at the Mandarin Oriental, Tokyo / within the Engineering, the Assistant Director of Engineering is responsible to support to the Director of Engineering to provide all our Guests and Colleagues with a comfortable, safe and aesthetically pleasing environment by protecting the Hotel assets through cost conscious, superior maintenance processes and dedication to continuous improvement. Manage all aspects of operation and maintenance tasks on a daily basis.  Directs, coordinates, monitors and performs routine, preventive and emergency all interior / exterior tasks of Engineering related system and equipment to obtain optimum effectiveness and efficiency and economy of hotel operation.  

As Assistant Director of Engineering, you will be responsible for the following duties:

COMPETENCY

  • Familiar and complies with the Mandarin Oriental, Tokyo (the Hotel) Vision, Mission, Core Values, Pillars, Guiding Principles and Standards in performing all routine, maintenance and emergency tasks / activities.
  • Familiar all engineering related systems and equipment for the Hotel.
  • Familiar with all Local Regulations, MOHG and the Hotel Guideline & Standards, as well as Policies & Procedures and Rules & Regulation.
  • Reports to the Director of Engineering on all matters affecting the operations of the hotel. Advise and confers with management on effective use of heat, light and power and proper application of repair and maintenance plan and procedures. Recommends changes or more efficient use of mechanical equipment, tests numerous products and equipment, new and those in use, to determine adaptability and suitability.

LEADERSHIP

  • Takes leading role in establishing the objective for the Engineering Department and coordinates the operational activity of all trades to ensure that these objectives are reached.
  • Ensure smooth and efficiency handling of daily engineering operation and guest comments of the Hotel.
  • Ensure effective and efficient operation, inspection and maintenance activities for all engineering related system and equipment.
  • Oversee engineering daily operation, maintenance tasks, work requests / orders and projects ensuring timely and accurate completion
  • Prioritize, plan, schedule, direct, assign, monitor, supervise, control, coordinate and participate in all areas and activities of the department.
  • Ensure prompt response to guest requests and ensure guests receive professional, efficient prompt and courteous services to the Hotel standard
  • Ensure to maintain the Hotel physical appearance and operational efficiency for all hotel facilities including Physical Structures, HVAC System, Electrical System, Plumbing and Drainage System, Fire System, Boiler System, etc.
  • Ensures that all engineering areas are maintained in a clean and safe manner.
  • Reviews the engineering logbooks, backlog reports, work schedules, preventive maintenance plans and other reports submitted by the vendors / contractors in timely manner. Ensures that the work can be done efficiently and within the standards of the Hotel.
  • Reviews preventive maintenance tasks and yearly work schedules for all equipment and that they are updated on a regular basis taking into consideration revised regulations from Local Authorities, revised Corporate Standards as well as input from Operational Departments.
  • Review and propose improvement plan for engineering system / equipment whenever necessary.
  • Maximise whole engineering team potential with a balanced focus on operations, maintenances, guests & owners & colleague satisfaction.
  • Establish and administers together with Director of Engineering proper work performance records, inventory controls, work order procedures and allocation of charges. Closely administers work force assignments.
  • Takes active role in the Emergency Response Team, Business Recovery Team, responsible for the follow up on operational as well as technical matters related to the Hotel Emergency Procedures.
  • Ensure to comply with Hotel’s Fire Life Health Safety Security & Environment (FLHSSE) Policies.
  • Ensures that all equipment and installations in the hotel is installed and maintained in conformity with the all local rules and regulation as well as Corporate Standards.
  • Assists in establishing utilities budgets and target consumption. Implements the energy conservation program for the electricity, gas and water to ensure that the targets are reached.
  • Assists in establishing repair & maintenance budgets for the equipment. Establishes control procedures to ensure that the concerned costs are maintained within budget.
  • Assists the Director of Engineering in establishing and implementing the Asset Replacement Program and Capex plans. Establishes procedures to ensure that the concerned costs are maintained within budget and complete the capex on time.

ADMINISTRATION

  • Represents the Engineering Department and attend daily departmental and EXCO morning briefings and all internal / external meetings whenever necessary.
  • Performs monthly inspections and follows up on outstanding issues with the concerned technicians and contractors. The inspection shall also cover responsibilities of the other departments with the intention to ensure the overall quality standards of the hotel.
  • Establishes duty rosters and vacation plans for the Engineering Department. Ensures all rosters and plans are in accordance with the local regulations and the demand of the workload and maximize the working efficiency of all Engineering Colleagues.
  • Organizes together with the Director of Engineering daily, weekly and monthly meetings for the Engineering operation.
  • Organizes the Engineering Colleagues to ensure that maintenance and repair work is carried out to obtain the best possible results with only minimal overtime.
  • Ensure and conduct engineering colleagues training in a timely and proper manner so as to achieve the Hotel standards, ensure colleague self-development as well as work effectiveness & efficiency enhancement.
  • Supervise and monitor outside service agreements and the performances of the vendors / contractors.
  • Maintains all records, reports and documentation of all engineering related activities / tasks and ensures that the adopted policies & procedures & records are in accordance with the Local Regulations as well as the Corporate Standards.
  • Liaise and maintains a good relationship with Guests, Building Owner, other Departments and fellow Colleagues through the consistent display of outstanding LQE skills.
  • Be environmentally friendly, reduce waste, recycle when possible, and reuse whenever applicable.
  • Assumes other duties as assigned by the Management from time to time.
