About the job
The Assistant Finance Manager is responsible for overseeing the hotel’s daily income audit function and ensuring that all revenue generated from Rooms, Food & Beverage, Spa, Recreation, and other operating outlets is accurately recorded, reconciled, and reported.
The position plays a key role in safeguarding hotel revenue by reviewing daily transactions, identifying discrepancies, ensuring proper revenue recognition, and maintaining effective internal controls. The role will work closely with the Front Office, Food & Beverage, Reservations, Sales, Spa, and other operational departments to ensure the accuracy and completeness of revenue reporting.
As Assistant Finance Manager you will be responsible for the following duties:
Income Audit & Revenue Verification
- Oversee the daily income audit process and ensure all hotel revenue is accurately captured and recorded.
- Review daily revenue reports from the Property Management System (PMS), Point-of-Sale (POS), and other operating systems.
- Verify room revenue, food and beverage revenue, spa revenue, recreation revenue, and other operating income.
- Reconcile PMS and POS revenue against the daily income reports and General Ledger.
- Review and investigate discrepancies, unusual transactions, voids, rebates, discounts, complimentary items, allowances, and adjustments.
- Ensure all revenue transactions are supported by appropriate documentation and approvals.
- Review daily revenue postings and ensure correct revenue codes, outlets, departments, and accounting classifications are used.
- Monitor revenue movements and identify potential errors or irregularities.
Daily Revenue & Night Audit Review
- Review the Night Audit package and ensure all required reports and supporting documents are complete.
- Verify the accuracy of room occupancy, room rate, room revenue, packages, rebates, and complimentary rooms.
- Review no-show, cancellation, house-use, complimentary, and staff room transactions.
- Ensure all adjustments and corrections are properly authorised and documented.
- Follow up with Front Office and other departments on discrepancies identified during the audit.
- Ensure daily revenue is closed and reported accurately within the required timeline.
Cash, Credit Card & City Ledger Reconciliation
- Review and reconcile daily cash collections and cashiers’ reports.
- Review credit card settlements and ensure transactions are properly recorded and reconciled.
- Investigate discrepancies between POS/PMS records, payment settlements, and bank deposits.
- Review city ledger postings and ensure revenue and receivable transactions are properly recorded.
- Monitor outstanding discrepancies and ensure timely resolution.
- Ensure proper segregation of duties and compliance with cash handling procedures.
Internal Controls & Compliance
- Ensure compliance with hotel financial policies, procedures, and internal controls.
- Monitor compliance with revenue-related SOPs across operational departments.
- Identify control weaknesses and recommend improvements to minimise revenue leakage.
- Ensure all discounts, rebates, complimentary transactions, voids, refunds, and adjustments are properly authorised.
- Maintain complete and accurate audit documentation for internal and external review.
- Assist with internal and external audits and provide supporting documentation when required.
Financial Reporting
- Prepare and review daily revenue reports and management summaries.
- Assist in the preparation of monthly financial reports and revenue schedules.
- Ensure daily revenue is accurately reflected in the General Ledger.
- Assist with month-end closing activities relating to revenue and receivables.
- Analyse revenue variances and investigate significant differences.
- Provide timely feedback to the Finance Manager / Director of Finance on revenue discrepancies and unusual transactions.
Team Management & Coordination
- Supervise and guide Income Audit colleagues in performing their daily responsibilities.
- Review the team's work to ensure accuracy, completeness, and timely completion.
- Provide coaching and training to Finance colleagues on income audit procedures and internal controls.
- Coordinate closely with Front Office, Food & Beverage, Reservations, Sales, Spa, and other departments to resolve revenue-related issues.
- Promote a strong culture of financial accuracy, accountability, and integrity.
As Assistant Finance Manager, we expect from you:
Educational Background
- Bachelor’s Degree or Diploma in Accounting, Finance, Hospitality Management, or a related field.
- Professional accounting qualification or relevant certification would be an advantage.
- Minimum 4–6 years of relevant Finance/Accounting experience, preferably within the hotel or hospitality industry.
- Previous experience in Income Audit, Night Audit, or Hotel Finance is preferred.
Skills
- Previous supervisory experience would be an advantage.
- Good understanding of hotel revenue cycles and financial controls.
- Strong knowledge of hotel accounting and revenue audit procedures.
- Good understanding of PMS Check and Sun System systems.
- Proficient in Microsoft Excel and financial reporting.
- Experience with hotel finance systems and interfaces is an advantage.
- Good understanding of General Ledger reconciliation and month-end closing.
