About the job

Based at the Mandarin Oriental Hotel Group Corporate Office within the Opening Excellence Department in Hong Kong, the Assistant Manager, Opening Excellence is responsible for governance administration, project coordination, portfolio reporting, document control and administration of the Opening Excellence Smartsheet platform. The Assistant Manager, Opening Excellence reports to the Project Manager, Opening Excellence and Director of Opening Excellence.

As Assistant Manager, Opening Excellence, you will be responsible for the following duties:

Supporting the administration, reporting and systems management activities across the Opening Excellence portfolio.

• Coordinate SCM governance schedules, meeting invitations, attendance tracking and recurring governance calendars.
• Prepare and distribute meeting agendas, minutes, action logs, decision records and governance documentation.
• Act as the day-to-day administrator of the Opening Excellence Smartsheet platform, including critical paths, departmental checklists and reporting dashboards.
• Support portfolio reporting through data consolidation, report preparation, dashboard maintenance and project administration across openings, takeovers, rebrandings and transitions.
• Coordinate user support, system enhancements, testing and issue resolution with external Smartsheet consultants and developers.
• Maintain project documentation, archives and governance records while monitoring data quality and reporting consistency across active projects.
• Track actions, follow up on outstanding items and escalate overdue deliverables to the appropriate Project Manager.
• Support continuous improvement initiatives across Opening Excellence systems, processes and reporting frameworks.

As Assistant Manager, Opening Excellence, we expect from you:

You are a highly organised professional with strong attention to detail, a systems-oriented mindset and the ability to manage multiple priorities in a global environment.

• 2-5 years' experience in project coordination, project administration, PMO support, operations support or a similar role.
• Advanced proficiency in Microsoft Office, particularly Excel and PowerPoint, with experience preparing reports and presentations.
• Strong organisational, communication and stakeholder management skills, with the ability to work independently across multiple time zones.
• Experience with Smartsheet or comparable project management platforms is advantageous.
• Exposure to hospitality, hotel development, construction, consulting or project management environments is preferred.
• Familiarity with governance forums, project lifecycles, executive reporting and critical path management is beneficial.
• Excellent written and verbal English communication skills.
