The Role

The Admin Assistant – Engineering provides comprehensive administrative and coordination support to the Engineering Department during the pre-opening phase and ongoing hotel operations. This role plays a critical part in ensuring efficient documentation, communication, procurement tracking, and project coordination aligned with Mandarin Oriental’s standards of excellence.

 

Key Responsibilities:

Administrative Support

  • Provide full administrative support to the Director of Engineering and the Engineering team.
  • Manage schedules, appointments, and departmental calendars.
  • Prepare correspondence, reports, presentations, and meeting minutes.
  • Maintain and organize engineering records, contracts, drawings, manuals, and permits.

Pre-Opening Coordination

  • Assist in tracking project timelines, contractor submissions, and completion milestones.
  • Support documentation and filing of building plans, compliance documents, and equipment warranties.
  • Coordinate with contractors, consultants, and suppliers on documentation requirements.
  • Monitor and update progress trackers for pre-opening engineering projects.

Procurement & Inventory

  • Assist in processing purchase requisitions and purchase orders.
  • Maintain records of equipment, materials, and spare parts inventory.
  • Liaise with Procurement and Finance to track deliveries and invoices.
  • Ensure proper documentation of asset lists and engineering tools.

Communication & Coordination

  • Act as a liaison between Engineering and other hotel departments.
  • Coordinate internal meetings, technical inspections, and site visits.
  • Handle incoming calls, emails, and requests related to engineering matters.
  • Support departmental communication and reporting requirements.

Compliance & Documentation

  • Ensure accurate documentation for safety, compliance, and regulatory requirements.
  • Maintain filing systems for permits, licenses, and certifications.
  • Assist in preparing documents for audits and inspections.

General Duties

  • Support onboarding and coordination of Engineering team members.
  • Monitor office supplies and ensure availability of administrative resources.
  • Uphold Mandarin Oriental’s brand standards, policies, and service excellence.
  • Perform other administrative duties as assigned.

 

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Hospitality Management, or related field preferred.
  • Minimum 2–3 years of administrative experience; hospitality or engineering support experience is an advantage.
  • Experience in a pre-opening hotel environment is highly desirable.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to handle confidential information.
  • Ability to work in a fast-paced, dynamic pre-opening environment.
