About the job

Based at the Athens Offices of Mandarin Oriental, Costa Navarino within the Sales & Marketing Department, the Groups & Events Coordinator supports Groups and Events inquiries of the resort with their main responsibilities evolving around inquiries’ qualification, proposal creation and submission according to standards, booking system management and conversion. The Group & Events Coordinator supports all sales efforts by providing market research, analysis, and support to the Commercial team to enhance knowledge around segments related to Groups and Events. The Groups & Events Coordinator reports to the Director of Sales.

As Groups & Events Coordinator, you will be responsible for the following duties: 

  • Support the Sales team in coordinating and maximizing revenues from existing and potential Groups and Events by handling inquiries received through various channels.

  • Coordinate the qualification, organization, planning and follow-up of upcoming groups and events, including but not limited to Wedding groups, Incentives, Exclusive Buyouts, Private Dining contracted events and Golf groups.

  • Assist management in identifying opportunities to maximize revenue through upselling and tailored enhancements that create outstanding group experiences and events.

  • Support the preparation of marketing presentations, promotional tools, templates and flyers related to Groups & Events sales activities for local and international markets, including Weddings, Incentives and other segments.

  • Handle new Groups & Events sales enquiries proactively, distributing them when required to the appropriate Salesperson based on market segmentation, while promoting the resort’s facilities and services.

  • Provide guests and clients with a high level of service and attention, aiming to exceed expectations and strengthen customer and brand loyalty.

  • Ensure Delphi activities and related conversion information are updated accurately on a daily basis, maintaining all necessary records and data.

  • Coordinate and assist with site inspections, show rounds and familiarization trips for travel trade partners, VIP customers and prospective clients, supporting the Sales and Commercial teams in customer engagement activities.

  • Support the management of the Groups & Events system, assist the Sales Team with the preparation of contracts, update billing information and coordinate post-departure processes including payment follow-up and feedback collection.

  • Coordinate meetings and events within the hotel from the enquiry stage through to event completion, ensuring smooth communication between all departments involved.

  • Assist in the efficient conversion of enquiries into confirmed bookings through timely follow-up and coordination.

  • Maintain clear and effective communication with all on-property hotel teams to ensure successful planning and execution of groups and events.

As Group & Events Coordinator, we expect from you: 

  • Valid EU Passport or Hellenic Residence Permit.

  • Previous experience in a coordinator or administrative role within the hospitality industry, preferably in Groups & Events or Sales.

  • Bachelor’s Degree or equivalent qualification in Hospitality, Events Management or a related field.

  • Good knowledge of Delphi FDC and Salesforce systems.

  • Strong computer literacy, including Microsoft Office applications such as Word, PowerPoint and Excel. Basic digital imaging knowledge will be considered an advantage.

  • Knowledge of inventory management systems and Groups & Events management systems will be considered a plus.

  • Fluency in English & Greek.

  • Ability to share time between our Athens office (November – March usually) and the resort in Costa Navarino – Pylos area (April – October).
