Communications Manager

About the job

Based at the Mandarin Oriental, Tokyo within the Communications Department in Tokyo, the Communications Manager is responsible for promoting Mandarin Oriental, Tokyo’s brand image, voice, and positioning through strategic public relations, media outreach, content creation, and internal communication. This role ensures alignment with the Group’s global communications strategy while highlighting the hotel’s unique offerings and cultural relevance in Japan.

As Communications Manager, you will be responsible for the following duties:

Public Relations & Media Relations

  • Develop and execute strategic PR plans to drive awareness and affinity for the hotel, its restaurants, spa, and events.
  • Cultivate strong relationships with media contacts, influencers, and key opinion leaders in both domestic and international markets.
  • Organize media visits, press trips, and interviews, ensuring consistent messaging and brand alignment.
  • Manage crisis communications in coordination with the Group Communications team when necessary.

Content & Editorial

  • Oversee the creation of all written content including press releases, fact sheets, hotel brochures, speeches, newsletters, and online narratives.
  • Maintain the tone of voice and storytelling that aligns with the Mandarin Oriental brand.
  • Collaborate with digital marketing and brand teams on social media and website content to ensure cohesive communication.

Internal Communications

  • Support internal communications efforts to ensure all colleagues are informed of hotel initiatives, events, and brand news.
  • Lead the preparation of internal publications and staff engagement messaging.

Campaign & Event Support

  • Assist in the promotion of hotel campaigns, experiences, and partnerships (e.g., luxury brands, cultural institutions).
  • Manage PR strategies around key events and seasonal promotions such as festive campaigns or brand collaborations.

Monitoring & Reporting

  • Track and report on media coverage and communications KPIs.
  • Provide competitive analysis and regular updates on communication trends within luxury hospitality.

Media Relations:

  • Draft news releases on newsworthy stories (refer to PR Manual for ideas).
  • Arranging distribution of releases.
  • Ensure Maintenance of local media lists and continual update.
  • Maintain good relations with local media through telephone and social contract.
  • Meet and provide tour of hotel facilities and services to visiting press in the absence of the DOMC.

Advertising:

  • Monitor the approved budget for local advertising.
  • Liaise with ad agency and vet written briefs, media schedules and production cost estimates prior to DOMC for approval.

Collateral Production:

  • Assist with writing and proofread hotel’s marketing collaterals.
  • Collate all necessary materials for printing.
  • Liaise with production houses or graphic designer on all production schedules.
  • Ensure all collaterals are updated and current.
  • Liaise with MOHG central mail-house (PMS) on inventory control.

Photography:

  • Coordinate in-house photography for F&B promotions, VIP visits and social functions.
  • Assist DOMC with hotel photography shoot (for collaterals).

Direct Marketing:

  • Ensure the hotel database is kept current and continually updated.
  • Assist DOMC with the production of materials for direct mail activities.

Budget Control:

  • Responsible for the control of the advertising and promotional budget and accountable for all expenditure within the monthly budget.

General Duties:

  • Perform any other reasonable duties as required by the department head.

As Communications Manager, we expect from you: 

  • Bachelor’s degree in Communications, Public Relations, Journalism, or related field.
  • Minimum 5 years of experience in PR, communications, or media, preferably in luxury hospitality or lifestyle brands.
  • Fluent in Japanese and English, both written and spoken.
  • Strong storytelling, copywriting, and media pitching skills.
  • Excellent organizational and interpersonal skills.
  • Culturally sensitive and brand-savvy with a deep understanding of luxury and Japanese hospitality.
