The Role

The Commercial Admin Coordinator plays a vital role in supporting the Commercial Strategy team during the pre-opening and operational phases of Mandarin Oriental Makati. This position ensures smooth administrative processes, efficient coordination, and effective communication across the Commercial division. Acting as the backbone of the department, the role provides essential support to the Director of Commercial Strategy and contributes to the successful launch of the hotel.

 

Key Responsibilities

Administrative Support

  • Manage calendars, schedule meetings, and coordinate appointments for the Director of Commercial Strategy.
  • Prepare correspondence, reports, presentations, and other documentation as required.
  • Handle filing, record-keeping, and database management to ensure accuracy and confidentiality.

Commercial Coordination

  • Assist in the preparation of commercial plans, reports, and presentations for internal and external stakeholders.
  • Support the organization of sales, marketing, and revenue management meetings.
  • Coordinate with other departments to ensure alignment on commercial initiatives.

Pre-Opening Support

  • Provide administrative assistance in setting up systems, processes, and documentation for the Commercial division.
  • Help track project timelines, deliverables, and milestones related to pre-opening activities.
  • Liaise with vendors, partners, and external stakeholders as directed.

Communication & Liaison

  • Act as the first point of contact for the Commercial Strategy office, handling inquiries professionally.
  • Maintain effective communication channels within the team and with other departments.
  • Support internal and external event coordination, including commercial roadshows, site inspections, and promotional activities.

 

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Hospitality Management, or related field.
  • Minimum of 2 years’ experience in an administrative or coordination role, ideally within hospitality or corporate environments.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a fast-paced, pre-opening environment.
  • Professional demeanor, discretion, and commitment to Mandarin Oriental’s standards of excellence.
