About the job

Based at the Mandarin Oriental Savoy, Zurich within the Groups & Events Sales Department in Zurich, the Groups & Events Sales Coordinator provides administrative support to the Groups & Events Sales Team, ensuring smooth operations and efficient coordination.

As Groups & Events Sales Coordinator, you will be responsible for the following duties:

  • Manage group and event inquiries via email and phone
  • Prepare offers, proposals, contracts, and confirmations
  • Maintain and update booking systems with accurate group and event details
  • Coordinate internally with sales, operations, and food & beverage teams
  • Create and distribute function sheets, event orders, and internal summaries
  • Track deadlines, deposits, and payment schedules
  • Handle invoicing and billing preparation
  • Support the groups and events sales team with administrative tasks
  • Planning of internal events
  • Prepare reports and summaries for management
  • Ensure compliance with company standards and procedure

As Groups & Events Sales Coordinator, we expect from you:

  • Previous experience in Events and Groups Sales is required for this role
  • Previous experience in a luxury hotel environment would be an advantage
  • Must be excellent in using computer and well versed in all computer applications
  • Charming and outgoing with excellent interpersonal skills for both external and internal customers
  • Ability to work under pressure
  • Positive attitude and good communicator
  • Excellent knowledge of German and English. Further foreign language skills are an advantage
  • Effective time management, communication and presentation skills
  • Flexibility to respond to a range of different work situations
  • The successful candidate must already be eligible to work in Switzerland
