Accounts Payable / Auxiliar de Administración (contrato sustitución)

As Accounts Payable at Mandarin Oriental Ritz, Madrid, within the Finance Department, is responsible for managing and processing payments owed by the hotel to its suppliers. This includes verifying invoices, maintaining vendor records, and ensuring timely disbursements.

Key Responsibilities:

  • Checks invoices with purchase orders and receiving records before processing.
  • Processes all invoices in the system to help the management to recognise the potential liability and will resolve any discrepancy, if any.
  • Ensures all invoices are allocated to the accurate account code in line with Local and MOHG accounting standards. Any other extraordinary invoice (without GL account assigned) would require account confirmation from supervisor prior to booking.
  • Reconciles all supplier statements, requests missing invoices, clarifies and documents any discrepancy.
  • Prepares remittances in line with payments cycle established by the Director of Finance or delegate, ensuring credit terms of the suppliers are taken into consideration and will coordinate with the Treasury the cash flow position of the hotel.
  • Identifies all outstanding purchase orders for services performed or goods received, elaborating Month-end provision Journal voucher and detailed back up.
  • Maintains a clean and reconciled Accounts Payable ledger, highlighting any idle accounts and keeping a track of all movements.
  • Is responsible that all new, amendment or deletion of vendor accounts are properly authorized and maintains a file to fully comply audit process.
  • Prepares all End of Month Reconciliations as designated by Finance Management.
  • Prepares financial reports and assists the department with the end of month reporting process to meet MOHG deadlines and standards.
  • Remains acutely aware of all applicable local taxes.
  • Maintains fluent communication with the Purchasing Department, the General Accountant and Treasury to elaborate Cash Flow requirements.
  • Carries out any other reasonable requests/projects/tasks as directed by the Finance Management.

 

What We Expect from You:

Mandatory

• Bachelor’s degree. Preferably in Accounting & Finance.

• Demonstrates knowledge of IFRS (International Financial Reporting Standards) emphasizing on an overall extensive understanding of the applicable business and accounting issues, and technical accounting and financial reporting standards.

• Strong Level of Proficiency in Excel; ability to assemble, analyse, understand integrated spread sheets and complex technical information.

• Proficient in written and spoken English.

• Prioritization skills; ability to meet deadlines.

• Strong Team Player, enthusiastic to learn and accomplish the Finance Department & Mandarin Oriental Overall Goals.

 

Desirable

• Bachelor ‘s degree in Hospitality Management.

• Experience in Hospitality Accounting operations.

• Experience in Audit Services or equivalent.

• A second foreign language

• Fiscal and Statutory knowledge.

• Knowledge of Moreton Bay, Vision (Infor Query & Analysis), SunSystem and Datavision.
