About the job

Based at Mandarin Oriental Lutetia, Paris within the Accounting Department, the Payroll Assistant reports to the Payroll Manager.

As Payroll Assistant, you will be responsible for the following duties:

  • Assist the Management team in the overall supervision and daily operations of the Spa.
  • Ensure an exceptional guest experience by delivering a warm and professional welcome.
  • Oversee the treatment schedule and coordinate staff planning efficiently.
  • Manage and grow the members' portfolio through consistent follow-up, client loyalty initiatives, and business development efforts.
  • Act as a true brand ambassador by promoting the Spa and contributing to revenue growth.
  • Handle administrative tasks with precision, including: Client database management, team scheduling, budget and cost control.
  • Anticipate client needs and provide thoughtful, solution-oriented responses to any issues that may arise.
  • Ensure the Spa and all facilities remain impeccably clean, adhering to hygiene and safety standards at all times.
  • Uphold and embody the quality standards and procedures expected in a luxury environment.

As Payroll Assistant we expect from you:

  • Update employee records and manage the entry of all health-related absences (accidents, sick leave, maternity leave, etc.) in compliance with applicable labor laws, as well as update monitoring dashboards.

  • Verify schedules entered by managers in order to prepare and input variable payroll elements (transport allowances, advances, bonuses, wage garnishments, etc.).

  • Prepare and/or verify part of the payroll, including temporary staff pay ("Extras"), unemployment certificates, and ensure payroll processing for apprenticeship and internship contracts.

  • Perform basic payroll calculations for both managerial and non-managerial staff, process end-of-contract settlements (final pay slips), and monitor key indicators such as paid leave balances, public holidays, and executive leave days.

  • Contribute to the preparation of various reports and annual statements.

  • Stay up to date with changes in labor and employment legislation.

  • Manage the administrative aspects related to health insurance, provident schemes, and portability of benefits.

As Payroll Assistant we expect from you:

  • 1 to 2 years of experience in payroll and/or HR administration, with a background in payroll training.

  • Previous experience in the hospitality industry would be an asset.

  • Proficient in computer tools, particularly Excel and Word. Familiarity with the payroll software “Cegid RHPI” and the time management system “OCTIME” would be a plus.

  • Good command of English, both written and spoken.

  • Strong organizational skills and a team-oriented mindset.
