The Role

The Purchasing Officer is responsible for the efficient sourcing, purchasing, and control of goods and services required for hotel operations. As part of the pre-opening team, the role supports the establishment of procurement systems, supplier partnerships, and inventory processes in accordance with Mandarin Oriental Hotel Group standards. The Purchasing Officer ensures optimal quality, cost-effectiveness, and timely delivery while upholding ethical and sustainable procurement practices.


Key Responsibilities

  • Source, negotiate, and procure goods and services in line with approved specifications, budgets, and brand standards.
  • Assist in establishing purchasing procedures, supplier lists, and procurement controls during pre-opening.
  • Coordinate with all departments to ensure accurate purchase requests and timely delivery of operational requirements.
  • Prepare and process purchase orders, monitor order status, and ensure proper documentation is maintained.
  • Conduct market research and supplier evaluations to ensure competitive pricing and quality.
  • Verify deliveries against purchase orders and coordinate with Receiving and Stores for proper acceptance.
  • Ensure compliance with company policies, internal controls, and ethical purchasing standards.

 

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Supply Chain Management, Hospitality Management, or a related field.
  • Minimum of 1-2 years of purchasing or procurement experience, preferably in hospitality or a luxury service environment.
  • Pre-opening hotel experience is an advantage.
  • Familiarity with purchasing systems and inventory controls; hotel systems experience (e.g., BirchStreet, SUN, or similar) is preferred.
