The Role

The Storekeeper is responsible for the proper storage, control, and issuance of inventory items used in hotel operations. This role ensures accurate stock records, maintains optimal inventory levels, and supports cost control by safeguarding hotel supplies and materials.

 

Key Responsibilities

1. Inventory Management

  • Maintain accurate records of stock movements (inward and outward)
  • Monitor inventory levels and notify Purchasing for replenishment
  • Ensure proper classification and coding of items
  • Maintain stock cards/bin cards or system records

2. Storage & Organization

  • Ensure all inventory items are:
    • Properly stored
    • Clearly labeled
    • Organized for easy access
  • Maintain cleanliness and orderliness of storerooms
  • Follow proper storage conditions (temperature, humidity, etc.)

3. Issuance of Supplies

  • Issue stocks based on:
    • Approved requisition forms
  • Ensure correct quantities are released
  • Record all issuance transactions accurately
  • Coordinate with department heads for their supply needs

4. Receiving Coordination

  • Work closely with the Receiving Clerk to:
    • Accept and transfer goods to storage
    • Verify quantities received
  • Ensure only approved and inspected items are stored

5. Stock Control & Monitoring

  • Maintain minimum and maximum stock levels
  • Prevent:
    • Overstocking
    • Stockouts
  • Monitor slow-moving and obsolete items

6. Inventory Count & Reconciliation

  • Conduct:
    • Daily spot checks
    • Monthly physical inventory counts
  • Reconcile physical counts with system records
  • Investigate and report discrepancies

7. Cost Control Support

  • Assist the Cost Controller or Finance team in monitoring usage
  • Ensure proper issuance to avoid waste or misuse
  • Support tracking of F&B and operating supplies consumption

8. Documentation & Record Keeping

  • Maintain complete records of:
    • Receiving reports
    • Issuance logs
    • Inventory reports
  • Ensure documentation is audit-ready at all times

9. Safety & Handling

  • Ensure proper handling of goods to prevent damage or spoilage
  • Follow safety standards for hazardous or heavy materials
  • Ensure safe storage practices for perishable goods (F&B items)

10. Audit Support

  • Assist in inventory counts and audits
  • Provide documentation for internal and external audit requirements
  • Ensure traceability of all received goods

 

Qualifications & Experience

  • Bachelor’s degree in Accountancy, Finance, Business Administration or related field
  • Knowledge of Inventory management systems and procedures
  • Basic understanding of Procurement and receiving processes
  • Proficiency in Microsoft Excel or inventory software
  • Strong attention to detail
  • Organizational and time management skills
  • Integrity and accountability

Key Performance Indicators

  • Inventory accuracy (system vs physical count)
  • Stock availability (minimal stockouts)
  • Proper inventory turnover
  • Compliance with procedures
  • Reduction in wastage or spoilage
