About the job
Based at Mandarin Oriental, Barcelona, within the Finance Department, the Accounts Payable Clerk is responsible for ensuring the accurate and timely processing of supplier invoices, maintaining strong internal controls, and supporting the Finance team in month-end and year-end activities. The role reports to the Finance Manager.
Duties and Responsibilities
As Accounts Payable Clerk, you will be responsible for the following duties:
To be fully aware of and operate accurately within the hotel’s system for receiving and processing supplier invoices.
To assist in providing relevant month-end and year-end financial information within required deadlines.
To deal efficiently and professionally with all telephone and written queries to and from suppliers.
To provide a cooperative and supportive service to all departments within the hotel.
To undertake monthly supplier statement reconciliations.
To ensure that all supplier payments are supported by complete and accurate documentation, including purchase orders, delivery notes and appropriate departmental authorisation.
To maintain a tidy, efficient and well-organised filing system for invoices, payments and financial reports.
To ensure that accurate records and logs of all invoices are maintained and kept up to date.
To comply with the Company’s Policies and Procedures related to Accounts Payable processing, ensuring adherence to local legislation, tax requirements and record retention standards.
To be responsible for the daily opening, franking and distribution of internal and external mail for the Accounts department.
To work at all times in a safe, organised and detail-oriented manner.
Requirements
As Accounts Payable Clerk, we expect from you:
A degree in Finance or related field.
Previous finance experience in luxury hotel properties.
Advanced Excel knowledge.
Strong communication skills, both spoken and written in Spanish and English.
High level of attention to detail and accuracy.
Ability to work in a structured, safe and organised manner.
A proactive, collaborative and service-oriented mindset.
